We had a tricky issue within an on-premise SharePoint site and the team at 365 Digital Consulting was amazing at exploring every possibility systematically to ensure we found an adequate solution. The issue was resolved and we were given a full debrief of the investigation and resolution that 365 Digital Consulting managed to find. They have also been great in helping us to improve for the future. We are beginning to put measures in place that means should an issue such as this comes up again we will be able to fix much quicker, a great way to add value for the customer!

We decided to switch transfer our domain hosting and our email services to Microsoft Office 365.
Dynamics 365 Consulting helped us make this transition and with a very large attention to detail.
They helped me to understand the project at a high level and then carried out the actions needed to transition us over with the smallest interruption in operations possible.

My role in 365 Digital Consulting is Customer Success Manager. I ensure that the customers achieve great and fantastic results and are happy at the end, which defines as a success for them according to their needs at the end of the project. So, my focus during my engagement is to ensure that the customer gains ROI.
What is the story behind starting this company?
Our technical expertise on Office 365 and Dynamics 365, which was then renamed to Microsoft 365 recently. That is the reason behind choosing “365” for the beginning of our company name because it’s common in Office 365, Dynamics 365, and Microsoft 365.

As we provide digital transformation solutions for businesses, the next term of the company’s name chose as “Digital.”

Because of the consulting nature of our company, the full name generated as “365 Digital Consulting”. But our services are not limited to consulting; we also develop and implement the solutions.
What are your company’s business model–in house team or thirdparty vendors/ outsourcing?
We call our business model a Hybrid. That consists of multiple experienced independent individual consultants who work in different geographies, including Australia, Germany, Netherland, and Iran, so we can support the customers in various time zones. In fact, we have an off-shore team, but the business model is not to outsource or off-shoring. The customer wouldn’t contact them directly or work with them; only the consultant can connect with the off-shore developers and pass some work to them. Then consultant ensures that the quality of deliverables has reached the intended country's standards for which we provide the service. So they ensure we met the high standards in UK, Australia, and Canada.

This business model has the advantage of low-cost service provisioning compared to our competitors at the same time, the quality we represent always reaches the standards of our client country.
How does your company differentiate itself from the competition?
In the consulting and service market, there are two sides; one of them is using local consultancy, which is normally so expensive that only larger enterprises can afford it, and the other is the freelancers who work through the freelancing platforms. Although they provide lower-cost services, in most cases, they deliver low-quality projects.

One of the main issues nowadays in this market is that the small businesses which are about to grow and expand, cannot afford the high price luxury consultancy services of local companies; therefore, they turn to freelancer services due to their low budget. But unfortunately, most of them are not aware of the difficulties and problems of working with them, including communication issues, time zone differences, lack of decent quality, distinctive differences in deliverable qualities, and lack of accountability and commitment. So, the result in most cases is a disappointment.

In 365 Digital Consulting, our primary goal is to address these issues by adopting the assistance of experienced consultants that prevent the direct involvement of our customers to the offshore developers with such convolutions so that our client can enjoy the high-quality services in addition to lower cost in comparison to other companies.

What industries do you generally cater to? Are your customers repetitive? If yes, what ratio of clients has been repetitive to you?
We cover the small to medium-sized companies with 10 to 500 staff within the locations I have mentioned earlier (Australia, the United Kingdom, Ireland, Canada, and New Zealand). And we can cover a vast domain of industries from healthcare to IT companies. We work mostly with the businesses that work with paper, like lawyers, real states, educational institutes, and accounting firms.

Our customers are mostly repetitive, and we perform services for the clients who have come back to us for their second or third projects, again. Statistically, about 65% of our clients bring their second project, and about 30% of our clients bring their third project to us, too. We don’t spend much on marketing, unlike many others. Because most of our projects are referrals as our customers introduce us to other businesses. Also, we have professional partners that, in case of their client’s need for any of our services, they refer the client to us.
Please share some of the services that you offer for which clients approach you the most for?
There are three types of common project: 
  • Integration
  • Migration
  • Power App, SharePoint, and workflow. 
First is the integration services. Many of our projects involve integration by means of API. We’ve implemented many integration projects within Office 365 and Dynamics 365 with other system such as:
  • Zoho CRM
  • Lannteria HR
  • KeyPay payroll
  • Xero accounting
  • QuickBooks Online
  • M-File
  • SmartSheet
  • MailChimp
  • TextMarketer
This is one of our strong points that we can implement the integration with most of the famous software which supports REST API.

As we’ve been confirmed as Xero trusted partners for Integration, many of our clients are the businesses that use Xero and want to avoid double entries of data and double-checking the data because they have inputs in different systems. So, we integrate the systems, and with single data input, all the information can push to other systems automatically.
 
The second service demand is migration. We’ve done many projects for migrating, including: 
  • SharePoint migration
  • Office 365 migration
  • Email migration (Gmail to Office 365)
  • Document migration
The third service is the PowerApp and workflow development (business process automation). We design and perform this service when there is a mobile app or an online form involved that should be digitalized. Clients would have a request for this service in various areas, including an online requests form, which needs the managers’ approvals like the procedure of taking leave. Usually, remote workers need to fill these forms and sign them electronically. And then, according to the data on the form, a template in the form of Microsoft World becomes prepopulated. The data comes from the PowerApp mobile app that we design, and a valid document with an e-signature is generated.
What is your customer satisfaction rate according to you? What steps do you take to cater to your customer’s needs and requirements?
Our overall rating is 4.7 to 4.8 from 5. Obviously, one of our aims in 365 Digital Consulting is to hold this rating close to 5 by performing the best possible services to our clients, which brings satisfaction and economic advantage for their businesses. So, they can have savings and ROI.

As the CEO and Customer Success Manager of the company, most of this activity relies on my deed, and I have the leading role in this area. Our steps consist of:  
Ensuring that the project can pass successfully through all the testing sections, including the developers’ unit test, QA’s and UAT tests, final tests before go-live. 
Preparing adequate documents, user guides, and admin guides.

Designing a simple, user-friendly interface to prevent users from getting trapped in complicated guidelines because of a complex application.

Conducting weekly meetings with clients to take their feedback. And in case of identifying any issue or diversity from the clients’ expectations, the technical team can promptly address the issue. Thus, the client can be aware of the production path and prioritize the needs efficiently.
What kind of support system do you offer to your clients for catering to their queries and issues?
We have different plans for different clients. The type of plans depends on the project we are delivering.

One plan is providing support. We have a ticketing system on our website called Mojo Helpdesk; whenever the clients put their inquiries there, the technical team gets them directly and responds immediately within 24 hours.

Then we have a CRM that stores the history of any contacts and information. One of the most important software that we have for the projects with the core objective of producing a custom application is using Azure DevOps, enabling the clients to monitor and manage the complete list of their project tasks and all the tasks that must be done for their projects and the statuses.
What kind of payment structure do you follow to bill your clients? Is it Pay per Feature, Fixed Cost, Pay per Milestone (could be in phases, months, versions etc.)
Usually, we hold a meeting with the client to list all the project requirements initially, to define the scope. And according to the information discussed, we deliver a proposal to the client, which is a fixed price.  So we fix the price base.

In large-size projects, the payments are split into 2 or 3 phases, and payment would be in phases.

We have a scenario known as “Changed Request”; which enables the client to change the requirements or have additional requirements during the service implementation, and these Change Requests will charge separately from the initial confirmed price if the changes haven’t admitted in the initial scope; otherwise, the price won’t change.
Do you take in projects which meet your basic budget requirement? If yes, what is the minimum requirement? If no, on what minimum budget you have worked for?
Our minimum requirement for accepting a project is the simple projects that can be delivered in one week and their budget is about 2,000 AUD (1,550 USD).
What is the price range (min and max) of the projects that you catered to in 2020?
Our price range divides into three sections:
  • 2,000 AUD (1,550 USD) to 5,000 AUD (4,000 USD): as I mentioned in the previous question, these are the projects with maximum simplicity and minimum convolution which can be delivered in a week or even less. 
  • 5000 AUD (4,000 USD) to 15000 AUD (12,000 USD): generally, most of our projects belong to this category. Our services for this category include customization, migration, custom development on the forms, and intranet development.

    Also, we’ve done mid-sized projects for our partners with the objective of small-scale integrations.
  • 15,000 AUD (12,000 USD) to 40000 AUD (30,000 USD): these are our high-budget projects for companies with a size of 70+ staff. And involves more convoluted services like several system integrations, data migrations, and custom development.
Where do you see your company in the next 10 years?
Two years ago, when we founded the company, we were merely two individuals consultants. Now we are working with 11 developers. This achievement can obviously explain our growth pace. As we had remarkable growth through the Covid-19 crisis, we look forward hopefully to continue this path and become one of the main consultancy firms in Australia and the United Kingdom in the next 10 years.
