This long-term contract began at the height of the pandemic. One of the pharmaceutical company..., made the decision to optimize and streamline numerous local e-commerce projects in both B2B and B2C sectors.

Recognizing my expertise in the field of user interaction and interface design and engineering, they sought my assistance. I was invited to embark on this journey, gaining invaluable experience in developing a massive SAAS e-commerce platform based on SAP. This platform would handle orders for animal medicine and cater to internal customers. The goal was to create a localized and deployable interface that embraced a highly flexible and easily scalable design approach. Equally important, it needed to be swiftly updatable based on the feedback and requirements of end-users (local businesses) and their specific needs and tasks.

💼 Business challenge

Develop a comprehensive cross-platform system that integrates the best e-commerce practices. The objective is to elevate the sales performance to a significantly higher level with localization for the world's largest consumer markets.

Provide swift and efficient support for various business processes, leveraging my full range of expertise. This includes the concurrent management of multiple tasks and maintaining a high pace of work to meet project deadlines.

We had Product Owner, Project Manager, and myself as a UX/UI designer (consultant) initiating the project. As the project progressed, our team expanded exponentially, with E.. and Co....joining us. This multicultural and multinational team operated remotely across five different time zones and three continents.

This is a short-term contract that involves the development of additional timeline and patient flows modules for an existing web-based desktop oriented management system. The project aims to enhance the existing system by implementing new UX/UI patterns and elements, thus ensuring that the scope of tasks is not expanded beyond what is necessary. The new modules will be designed to seamlessly integrate with the existing system in order to provide a more comprehensive suite of management tools for healthcare providers. The project team will work closely with the client to ensure that the new modules meet all of their requirements, while also ensuring that they are user-friendly and easy to navigate. Additionally, the team will conduct rigorous testing to ensure that the system is robust and reliable, and that it can effectively manage the complex needs of healthcare providers.

The team is composed of a diverse group of individuals with different areas of expertise. There are three managers who oversee different aspects of the company's work, including the backend and frontend developers. In addition, there is a project manager who is responsible for coordinating the team's efforts. From my side, as a UX/UI Designer, ensures that the product is user-friendly and visually appealing and integral. We also occasionally bring in users to provide feedback on the product and help us improve it. Overall, the team is a well-rounded group of professionals who work together to create a successful product..

🧩 Onboarding + Tasks and phases of project activity

During the onboarding phase, the following tasks and project activity phases were undertaken:

1. HIPAA Privacy Training: All team members underwent training on handling sensitive medical data in accordance with HIPAA regulations.

2. Use Case Map Development: A deep dive into the project led to the initiation of a use case map, outlining the various functionalities and interactions required.

3. Brainstorming Sessions: Basic functionality of the modules was described and discussed during brainstorming sessions. This facilitated a shared understanding among team members, ensuring a predictable and agreed-upon result by the end of the project.

4. Prototyping Interaction Scenarios: Key interaction scenarios were worked out in prototypes to visualize and test the flow of the modules.

5. Finding Common Visual Language: Analogues were prepared to establish a common visual language that resonated with the entire team.

6. Interface Design: The interface design was developed, taking into account the agreed-upon visual language and user requirements.

7. Prototyping for Selected Flows: Prototypes were created to implement and refine the selected flows based on user feedback and testing.

8. Finalizing UX/UI Solution: The final version of the UX/UI solution was polished and approved, ready for implementation.

— Throughout the entire process, collaboration with end users and team members ensured that the project's objectives were met, resulting in an efficient and functional service.

🎯 Results

1. Customer Satisfaction: The project successfully met customer expectations, resulting in a satisfied client.

2. Tested Hypotheses and New Components: We rigorously tested hypotheses regarding new components and their functionality through several iterations. As a result, we developed and delivered a set of new interface components.

3. Efficient Task Completion: Our team accomplished assigned tasks effectively and efficiently. We maintained a diligent approach to task management, including individual task assignments, regular progress updates, and final quality checks. Additionally, we implemented new strategies, such as optimizing communication channels, utilizing advanced software tools, and delegating responsibilities more efficiently. These measures enabled us to exceed expectations and achieve outstanding results within the designated timeframe.

4. Comprehensive Design System: To ensure consistency and cohesiveness in design, we identified various design components and organized them systematically. This process led to the creation of a comprehensive design system, serving as a framework for all future design work. This system streamlines the design process and ensures adherence to established guidelines and best practices, resulting in a more polished and professional end product.

The development of new elements and components for the existing custom ERP system is aimed at enhancing the performance of the system and improving the efficiency of the business operations of a fairly large Japanese cuisine and cooking business that operates in several countries.

The new elements and components will be designed to streamline the workflow of the business operations and provide a more user-friendly experience for the customers.

The development team will work closely with the stakeholders to ensure that the new elements and components meet the requirements and expectations of the business. The team will also conduct thorough testing to ensure that the system is reliable, secure, and scalable.

The project is expected to take several months to complete, and the team will provide regular updates to the stakeholders throughout the development process to keep them informed of the progress and any changes that may occur.

Support existing business processes by adding new functionality and logic worked out by the stakeholder with end users.

To perform a system update of the interface at the time of global technological processing (refactoring) of the ERP system. The system is used by the network of 12 catering establishments and a large number of partners as a separate product (SAAS):

— General transfer of the service to mobile-first

— Development of the flexible tables component

— Development of an internal chat component with the possibility of SMS mailing

— General face-lifting system

— Development of reporting chart components with the possibility of customization and improvement

⚙️ Technical challenges

One of the key technical challenges in this project will be to reproduce the current style of the interface with the utmost precision, while still incorporating new functional modules to enhance the user experience. This will require a careful balancing act between maintaining the existing design aesthetic and introducing new features that meet the needs of the end-users. Additionally, it will be important to ensure that the new modules are fully integrated into the existing codebase, without introducing any bugs or breaking any existing functionality. This will require a thorough understanding of the existing code, as well as a deep knowledge of the new modules being introduced. Finally, it will be important to thoroughly test the new modules to ensure that they are working as intended and do not negatively impact the performance of the overall system. This testing process will need to be rigorous and include both automated and manual testing to ensure that all possible scenarios have been accounted for.

A short-term contract for research and further development of the interface and user interactions, based on a hypothesis regarding the needs of stakeholders and several divisions of the Vodafone Ukraine corporation.

Develop and launch an automated solution for both external and internal SMS dispatch, based on geo-aligned big data strategies. This tool should effectively manage SMS order processes, enabling a more efficient communication mechanism.

— Providing continuous support throughout the project lifecycle.

— Incorporating corporate guidelines into the existing front-end and back-end systems, leveraging an existing template from open source resources.

— Conducting a thorough audit of the current interface to identify areas of improvement or potential issues.

— Formulating additional hypotheses aimed at enhancing the user experience, specifically targeting early adopters.

— Creating valuable artefacts from demonstrations presented in internal meetings, to further communicate project progress and insights.

🧩 Onboarding + Tasks and phases of project activity

— Initiated involvement in the project work.

— Submitted a checklist of required documents and artifacts to the product supplier, from the contractor's company side. Found out that the documentation was still being drafted, despite the product being close to completing the Minimum Viable Product (MVP) stage in terms of planned functionality.
— Reviewed over 30 demo records and compiled a summary of questions based on them.
— Conducted negotiation sessions with the project's lead architect regarding processes and documentation, which led to the discovery of new aspects and parts of the project.
— Discussed with the Technical Director the necessary processing due to the understanding of the need for full-cycle development (enterprise solution) for such a comprehensive system.
— Began project work at the stage of finalizing MVP production.
— Reviewed all demo records and composed questions for the Product Owner on the developer's side.
— In the absence of primary documentation and input data, I continued searching for artifacts. Unfortunately, aesthetic aspects and the comfort of the MVP developer were overlooked.
— The interface was initially tested on internal consumers and clients. The status of the interface was documented, and weak points were identified. The need for immediate changes to more strategic and valuable features was recognized.
— Created a knowledge database (LOG), which was maintained and updated throughout the project, with comments added to artifacts for future colleagues.
— Conducted a preliminary competitor analysis due to the lack of marketing information. Formulated basic hypotheses about the market launch strategy.
— Assembled a database of analogs for various cases within the framework of project tasks to streamline communication and decision-making at all levels.
— Simultaneously developed a model for the introduction of guidelines (requested more relevant ones from the parent organization), a design system, and layouts. The interface design was created using existing libraries and pattern sets before my involvement.
— Developed a substantial interactive prototype after working through the basic features in the layouts.
— Assisted a new Product Owner (on the developer side) with understanding design tasks and onboarding.
— Created a system of hints and micro-interactions in the form of separate videos and various flows, which was necessary for the presentation and evaluation of the team members' work.
— Developed a Lean Canvas for the project for the new Product Owner.

🎯 Results

1. The Log (knowledge database), which was created by me, was used as a manual for onboarding of new team members.

2. Implemented and completely upgraded the guidelines in the designed interface.

3. Completed design system development on MVP stage.

4. Created a flexible design system to provide a lean approach in the development process of all the product line.

5. Due to the implementation of the design-system and atomic approach, I caught up and surpassed developers for 6 months, thereby I provided an understandable work and comfort for setting goals for them.

Engaged in a short-term contract characterized by a high level of team interaction intensity, operating in a Research & Development (R&D) mode. The project had a fast-paced iteration cycle and frequent team member updates. 

—This has been the most challenging project in my professional practice.

⚙️ Technical challenges

— Streamlining Processing, Development, and Research: The primary objective is to efficiently organize the processing, development, and research phases to facilitate informed decision-making.

— Data-Driven Design for Logistics Management System: Implementing a data-driven approach to design the logistics management system, leveraging valuable insights and analytics to optimize operations and enhance efficiency.

— Conducting Field Studies for Logistics Service Workers: Organizing and conducting comprehensive field studies to better understand the needs and challenges faced by logistics service workers, aiming to improve their working conditions and productivity.

🪢 Team

Product owner-stakeholder, business analyst, tester - project manager, technical director + me and UI / UX team

Role duties: lead UX/UI. Subordinates: Senior UX/UI (full-time), Junior web + polygraphy (full-time), Senior UX/UI (part-time). The team was renewed in two months, and was replaced completely in another two months, due to guys' burnout.

I tried to help them and reduce the pace, but this was out of stakeholders plans.

🧩 Onboarding + Tasks and phases of project activity

– Initiated involvement in the project, familiarizing myself with the temporary MVP and its artifacts and primary hypotheses. These hypotheses had been used in presales and investor searching, but were not adopted for development due to a lack of comprehensive decisions on necessary functionality and alignment with business processes in the next iteration.
– Identified problems in project team management. Established communication with the project owner with the intention of initiating software changes.
– Undertook a business trip to the Lviv office to study the target audience and evaluate the MVP usage experience by a group of logistics system operators. 

The study focused on:
   1. Identifying difficulties encountered when working with the system.
   2. Assessing the speed of system learning and business task resolution.
   3. Monitoring workflows and personally communicating with staff to tailor communication methods and gather relevant information from end-users.

Result of the research trip:

1. Delivered a detailed report, including descriptions of user roles based on internal hierarchy, gender, age, work experience, and user experience with other systems and interfaces, etc.

2. Developed initial hypotheses and a working panel prototype, including a communication module for intra-system interactions and workflows, plus order acceptance from key customers through the integration of various communication channels into the system.

– Distributed project tasks among team members.
– Developed 9 UX solutions as part of R&D mode, which, during the creation of UX concepts, yielded 27 UI solutions.
– Simultaneously set up systematization and data collection work to complete the mobile application and update it with the already systematized input data and UI/UX solutions. This included the synchronous creation of the project roadmap, use-flow, and use-cases. I proposed a number of recommendations on the separation and optimization of functionality for various user roles, but these were not acknowledged by stakeholders due to a lack of priority in application production.
– Created an interactive prototype to test the developed hypotheses.
– Before I left the project due to exhaustion, I participated in the selection and hiring of 3 Senior UI/UX designers (full-time), guiding their onboarding process and transferring all documentation and knowledge to them.
– Produced a new approach and analysis of development management errors made by stakeholders during the setup and adjustment of communication. Subsequently, I exited the project.

🎯 Results

1. Delivered a complex, workable solution meeting business requirements and stakeholder expectations.
2. Secured a second round of investment for the project.
3. Developed a project UI-kit, established guidelines, and created high-quality project artifacts.

— Prepared a System Usability Scale (SUS) questionnaire customized for project tasks, establishing the baseline for the current interface solution.

— Integrated into the project team by:
  1. Consulting with the owner to identify issues and business objectives for the new game panel.
  2. Reviewing project documentation and conducting a team survey to understand the technological specifications and identify weak points in the development process.
  3. Collecting competitor data: marketing, SEO, promo strategies, and approaches to localizing projects (interfaces) for different regions worldwide.
  4. Drafting a report comparing approaches to developing interfaces among competitors.

— Conclusions were drawn and the feature list was approved by stakeholders.

— Created the project's mind map (information architecture), workflow, and use cases. These were then discussed with stakeholders and the development team.
— Developed a primary wireframe prototype to demonstrate initial hypotheses.

— Presented the prototype to stakeholders, showcasing the proposed solutions. Coordinated further actions and planned the project roadmap.

— Discussed and coordinated subsequent actions and tasks, prioritizing key screens and functionalities requiring primary development and production of full-fledged solutions, alongside an interactive prototype.
— Developed a prototype of the main screens to approve the visual communication language (and tested solutions with users).
— Collected and processed user feedback.
— Optimized the initial hypothesis and eliminated identified defects.
— Produced the basic project screens and an interactive prototype of them. Obtained approval from stakeholders.
— Corrected decisions as needed and continued the development of remaining UI parts, along with further enhancement of the interactive prototype.
— Showcased the designs to both stakeholders and dedicated users.
— Created guidelines and a UI kit for developers.
— Initiated the development process, providing consultations to developers.
— Began the development of an adaptive interface version while tracking the implementation of solutions for the web version.
— Received project approval for further development.
— Upon contract expiration, exited the working group. Transferred all artifacts and completed solutions to the Technical Director, providing a thorough description and systematization of the produced solution.

🔎 Project overview
Engaging in a short-term project, my expertise will be utilized to perform a thorough assessment of an electronic document management platform. This platform integrates elements of the Software as a Service (SaaS) model, offering users the ability to customize and manage functionalities according to their needs.

Boost user loyalty by simplifying and enhancing system interactions, optimizing support costs, and standardizing interface patterns post the Minimum Viable Product (MVP) stage.

🧩 Onboarding + Tasks and phases of project activity
— Joined the project during the transition from a functional MVP (startup) to a structured, optimized, and focused SaaS platform. This was after a year-long absence of a designer, during which new modules were developed by project programmers.
— Collected product information, identifying problems and bottlenecks due to a lack of best practices and basic heuristics.
— Submitted a request to the marketing department for the creation of a marketing vision (tactics, strategy), and identification of sales markets - Unfortunately, this request went unanswered.
Initiated a System Usability Scale (SUS) questionnaire to capture users' attitudes towards the product - This too, went unanswered.
— Requested the Technical Director (stakeholder) for insights into the roadmap - This request was also unanswered.
Received scattered, outdated layouts in the form of Photoshop and Sketch files, revealing a lack of consistency in decision-making, grid, adaptive versions, and style guides across all project components.
— Noted inconsistencies in the use of icons, fonts, dimensions of interface parts, and other components, as well as the project layout grid.
— Created a comprehensive UI/UX report on the existing system, detailing key workflows and user cases, problems, logical errors, and loss of consistency in UI/UX solutions (based on a mindmap). — Formulated a structural treatment plan for the teething issues encountered during the transition.
— Developed a roadmap based on the identified problems and their articulation to stakeholders, outlining implemented elements and solutions. This roadmap was designed with flexibility to accommodate any phase of the project.
Systematized all available solutions using Zeplin & Sketch App. Organized icons by introducing a font with SVG icons. Reorganized UI based on the development of a grid.
— Moved to systematization and updates focusing on COMPONENTS.
— Worked on current tasks and introduced new functionality to the product simultaneously.
Eventually, exited the project due to a lack of input data and insufficient time allocated for collaboration and consideration of my decisions from stakeholders.
