Through real-time data integration and custom dashboards, Vacenti transformed their rostering processes, leading to significant cost optimisation and enhanced regulatory compliance.

Challenge

Vacenti, a medium-sized residential aged care group based in Brisbane, Australia, faced a challenge in extracting meaningful insights from their rostering data. The existing systems lacked the ability to provide real-time visibility into rostering and HR information, which impeded their ability to address issues promptly. Vacenti needed a solution that would allow them to monitor and manage their rostering data effectively, ensuring smooth and compliant operations.

Solution

We collaborated closely with Vacenti executives to develop a suite of custom dashboards that encompassed everything from rostering shift information to pay run details. These dashboards were designed to be easily readable by both executives and operational managers, providing a clear view of where things had deviated from the plan.

Data Integration

We integrated data streams from Vacenti's rostering system into their existing data infrastructure, creating real-time pipelines that ensured continuous data flow and up-to-date information.

Rockpool RAC became the first in the country to leverage the new government B2G APIs for automated data submission, thanks to Halo Labs' innovative solution.

Challenge

Rockpool RAC faced a significant operational challenge due to new government regulations requiring the submission of 11 clinical indicators each quarter. The manual process of gathering and submitting this data was time consuming, requiring three days of clinical nursing time per site each quarter. 

This resulted in a total loss of nine days of clinical nursing time per quarter, with data needed to be collated from six different systems.

Solution

Our team addressed this challenge by deploying a comprehensive data warehouse solution. We built robust data pipelines to integrate with Rockpool RAC's core clinical, rostering, finance, and medication systems. 

Automated scripts were developed to extract the required information from these pipelines, transform the data into visualisations using Tableau, and automatically submit the data to the government via the new B2G API. 

This solution significantly reduced the manual effort and time required for data submission.
