The client is a reputed organization engaged in providing container depot services for container storage & handling, repairs and container Haulage.

The company has hundreds of containers handled within the month in several yards. The containers are arrived in different conditions and in sizes. They are stored over a period and released on request by the shipping-lines who own them. The shipping lines need to be accurately invoiced for the respective services. Further, the containers need to be sent out on time, as per the release requests raised by the container owners.

Cyber Concepts’ container movement tracking solution records the incoming containers owned by multiple shipping lines and their departures and calculates the invoicing requirements.

Sending of EDI details to shipping lines, in-gating with and without declarations, recording of containers, sending of scheduled emails, recording of release orders and out-gating based on such orders, reservations for release orders are some of the salient functionalities provided by the solution.

A UK based client engaged in supply and maintenance of computer hardware items, management of networks handled through multiple types of contracts. The client is service more than 100 customers with over 200 contracts which are renewed annually. As a part of support he orders hardware items to be used at clients’ IT network. The contracts are billed either monthly or annually depending on the agreement. In addition, the customers are charged for extra items supplied during support. Further, the clients are billed directly for off the shelf purchasing.

Although all the SAGE accounting solution provided the full requirement for accounting, it had its own limitations when trying to incorporate the client’s business processes. Further, the help ticket system, which is named as the ‘tickets portal’, too cannot be extended to fully accommodate the organizations business process.

Cyber Concepts team developed a complete modularized solution that consists of Inquiry following up, Contract recording, service record management, Invoicing, Credits, Direct debits, Inventory Management, Assembling of products and Purchase ordering.

The Ticket portal was modified to include specific functionalities and followup requirements of the client. Incidentally, it is fully integrated with the solution through an API to share information between the portals.

The complete solution evolved together with the business of our client, and is being updated todate with new features and modules.

One of Sri Lanka’s leading light vehicle dealer who owns 14 showrooms and has a dealer network ofn 200+ across Sri Lanka. The client needed to monitor the sales process, in all showrooms including at the dealers, from the point of generating a lead to its realization to an actual sale. The entire process was handled manually and the senior management had no access to immediate information. The information was received very much later after the transaction was done. Therefore, this reduced their capacity for proactive decision making and stay ahead of the competition.

Cyber Concepts conceptualized a comprehensive web based Customer Relationship solution (CRM) that linked the entire process from the point of enquiry, sale and up to the continuous maintenance of the vehicle. Every Inquiry can be logged into the solution and a sales rep or a dealer is assigned the responsibility for that inquiry. The system monitors the level of follow-up on the inquiries, quotations sent, realized sales and lost sales. The lost sales are linked to reasons such as non-availability of required design, non-availability of stocks, price competitiveness and to which competitor the sale was lost to..

Apart from being a web application, the solution is extended to be used on PC client and as an Android app for connectivity and mobility. Whatever the platform used by the users, all the data is synced to the web application so that the sales team at Head office and the senior management are able to monitor the activities at the dealers and the showrooms.

A company involved in travels and tours Sri Lanka and Maldives. The receives tour packages from European countries and promotes destinations in Sri Lanka and Maldives.

The company handles all its processes manually, entered into excel worksheets. The accounting process is handled through Quick Books accounting solution. The accounting solution has its limitations in providing profitability reports for the requirement of the senior management, and therefore, they are prepared through excel work sheets by keying in data from the manual records. This has brought up bottle necks in the work load, duplication of work and also time spent in reconciling records with quick books.

Cyber Concept’s solution was to computerize the manual operation upto the point of generating expense records and income records and feeding them into Quick Books using xml data uploads using a web application. The solution covered the entire business operation starting from the generation of pro-forma invoice, obtaining prices and bookings for accommodations, meals and entertainment activities, advance payments to the tour guides and recording their expenses, transport booking and recording of actual expenses and generation of the final invoice with credit and debit notes as applicable. The completed process allowed to generate the profitability details by each tour considering the actual expenses against those budgets. The finalized records are generated into an xml format that could be uploaded into the accounting solution.
