Review Summary

The project planning software that my company currently use the most is Asana, and it’s proven to be a great help for nearly all of my projects. It keeps me and my teammates engaged and on track while allowing us to stay very organized. What I like the most about Asana is the concise way in which the platform allows you to track a project from creation to completion. It’s a very intuitive way of setting up a project and allows me to plan out all the details well ahead of time. A disadvantage would be that it doesn’t offer much in terms of tracking financials, and I typically end up using a different platform for that end of things. This is a minor downside for me, but it’s not a complete system with that lens.

Our company- Absolute Reg LTD uses Asana to plan a large portion of our business projects. It is a comprehensive software that maps out all our ideas and organizes important project details in a singular space. The advantage of using Asana is its ease of maneuver. You can effortlessly utilize it in less than ten minutes both in the browser and via the app. Another great feature of Asana is its customizability. That means it enables our team to personalize solutions that meet our needs and desired outcomes. This feature alone has helped us deliver better services about our product, increasing customer satisfaction. However, upgrading the software is quite pricey, especially if you want to unlock specific features that are not available in the free version.

At DebtHammer, we use Asana for project tracking. For us, the most useful pros are the number of integrations (there are a ton), the ability to customize dashboards as we need, the ability to easily prioritize within it, and the collaboration tools. For cons I would say it's not easy to learn. I'm also disappointed there's no time tracking. It would be nice to have that in one app.

When things went sideways, I was lucky to have an IT department implement changes that have enabled my team to connect with each other from anywhere and track every aspect of projects, from initiation to completion. We use Asana but we're probably going to switch to something else soon. We keep Asana around because everyone is familiar with it now, but I'm growing frustrated by the lack of options. It's customizable only up to a certain point and it's just not pulling its weight the way I need it to. The lack of time tracking is a big issue in particular.

Due to the pandemic, we started working remotely. At Independent Fashion Bloggers, we continued with our projects and started to define the difficulties our team is facing. It was getting harder and harder to track our progress.

The project management tool that helped our team and made our workflow easier is Asana. We quickly started using Asana as our main project management tool and it really helped us.

Asana pros: tags, deadlines, option for multiple boards (projects), easy-to-operate system, clear vision of the whole project. Asana is super intuitive and basic - the UX design allows you to work smoothly and comfortably. For every change that is made or comment that is left by any of the team members, I immediately receive an email.

Asana cons: Asana works with keyword combinations. Once I clicked something by mistake and the software moved all of my tasks to a mutual board. We have to be careful with the key combinations.

We use Asana at Niche+Co. 

Pros: 

- Different views (you can see project progression & assignments in a board, calendar, or list view- we love the calendar view!) 

- Different colored tags for different assignments

- Making assignments for different people with due dates is simple 

- Fairly easy-to-use platform 

- Pro and free versions available 

- Easy to converse about different assignments, add attachments, and create sub-lists all within the interface.. 

- The pro version has a dashboard and timeline (can be helpful)

- There's an app! 

Cons: 

- The app is set up a bit differently than the web version, meaning you have to get familiar with what seems like two different types of platforms if you plan on using both. 

- There are so many different features that sometimes it's overwhelming (until you get familiar with the features you need) 

- There's no way (that we've found) to merge calendars. We just include all our different projects on one "project board" and tag them different colors so we can see them all at once. 

As you can see, we're fans of using Asana!

At Digital Next, we use Asana to monitor project progress. At first, it started with just task management. Then, as both we and Asana evolved, we gradually shifted over to Asana to manage our entire production pipeline. As a digital marketing agency, each project comes with many moving parts. Of which, for every unique element to a campaign, there are also many identical workflows. By encompassing personal task management, holistic project workboards and the ability to add collaborators with ease, Asana provides great flexibility for each participant within a project alongside the wider project objectives. It also serves, to some degree, as a performance tracking tool for our internal teams.

Pros:

One of the biggest positives of using Asana for a digital marketing agency (in particular an SEO agency) is the ability to template project roadmaps. Although campaigns are unique, each campaign requires almost identical processes to achieve desired outcomes. As such, setting up a new project can be as simple as duplicating a pre-existing template and making small modifications. Within a matter of moments, you are up and running with clear objectives and a roadmap to a successful campaign.

Furthermore, with a variety of specialist skills within our agency, the moment our templated project board is duplicated, we can be confident in knowing that the right person is assigned a particular task. By assigning tasks to the right individuals within our template project board, these individuals are immediately assigned to complete any tasks that fall under their area of expertise without any brain power required to figure out who is going to complete key aspects of the campaign.

Another reason why we enjoy Asana so much is the ability to work with external contractors with ease. Asana is super simple to use and adding a collaborator to a particular task is as simple as adding an email address. This collaborator then only has access to the task assigned to them which keeps the privacy of the bigger picture project entact should that be required.

Cons:

Although there are many third party integrations available with Asana, the output of these integrations are actually quite limited. For example, we recently integrated Asana with Slack; our communications channel. However, while the promise of always being up to date with notifications from a single dashboard sounded great, the limited functionality of being notified when tasks have been completed or when tasks have been assigned within Slack actually just created more mess. Rather than keeping our teams up to date, it was just too much noise.

Additionally, it is very apparent at times that Asana was primarily a personal task management tool stepping into a project management world. For example, unlike Monday.com, Asana requires you to open new tabs to see different project visualisations. This can be super frustrating when you just want all the information within a single browser. However, it’s not such a big problem for well organised teams.

Our small video production team (currently 6 employees) has been using Asana for the last 4 years. 2 years paying for the Premium plan. We compared extensively with other offerings at the time and found Asana to be the best fit for features with a low monthly price. We were looking for something that required less management but still gave options for calendar, timeline, and Kanban views of projects. Asana at the Premium tier and above gives these options for a reasonable price for a small team. It does still require some level of management and upkeep, which is the only negative I can really throw to Asana, but there are a lot of options for automation using custom fields, tagging, and dependencies. Overall very happy and would recommend, especially to small teams who don't want the cost and complexity of Microsoft Teams or the like.

At Billry, we use Asana https://asana.com/ which is a great and easy to use tool that allows us to schedule meetings and task deadlines to specific individuals, giving the opportunity to upload attachments, having an easy to follow conversation, as well as being able to easily add and remove other employees who need to be looped in for brief periods of time. You can host as many different projects as you need to, further simplifying the layout for employees to find the relevant information to them.

At Stand Up Paddle Boards Review, we manage a small team of remote workers and one of my favorite software is Asana. 

The platform allows you to assign everyone their specific tasks and divide those into subtasks. This way, you will always know what everyone is doing. You can assign as many tasks as you like and set different deadlines for them. 

Asana pros: the basic plan is free, it is easy to use, allows for collaboration and task management is simple.

Asana cons: the other plans can be costly, especially because they charge per user.

Plus, it’s really user friendly and easy to use. CONs: I guess the interface could be a little better. The thing that annoys me the most is that it randomly signs out for no reason.
